What we collect, why we collect it, and what we will never do with it.

Who this covers

This policy covers people who visit our website and people who use Accreed through an institution that has an agreement with us. Where your institution controls the data, their agreement with us governs how that data is handled, and this policy explains our side of it.

What we collect from the website

  • Contact details you type into a form, which are the name, email, institution, accrediting body, timeline, and message
  • Your email address if you subscribe to updates
  • Basic request logs, which include the pages requested, an abbreviated network address, and the browser reported by your device

We do not run advertising trackers on this site and we do not sell or rent contact information to anyone.

What we collect inside the product

  • Account details supplied by your institution, such as name, institutional email, department, and role
  • The documents and metadata you or your colleagues upload as accreditation evidence
  • Activity records showing who uploaded, edited, mapped, or approved something and when

Accreditation evidence sometimes contains student work. Where it does, we treat that content as education records and handle it under the data agreement with your institution.

How we use it

  • To operate the product for your institution
  • To answer support requests you raise
  • To keep the audit trail that accreditation review depends on
  • To send product and practice updates if you asked for them

We do not use customer evidence to train shared models, and content from one institution is never used to answer another institution's questions.

Who else sees it

We use infrastructure and email providers to run the service. They process data on our instructions and are bound by agreements that limit what they may do with it. We will name our current subprocessors on request. We do not disclose customer content to anyone else unless the law requires it, and where we are permitted to tell you about such a request, we will.

How long we keep it

Product content is kept for as long as your institution's agreement runs, plus a wind down period agreed in that contract. Website enquiries are kept for two years. Subscription addresses are kept until you unsubscribe. Backups age out on a fixed schedule that we will state in writing.

Your choices

  • Unsubscribe from updates using the link in any message we send
  • Ask us for a copy of the personal data we hold about you
  • Ask us to correct or delete it, subject to any record keeping your institution requires

If you use Accreed through your institution, start with your accreditation administrator, since they control the workspace. We will support whatever they ask us to do.
